What is GroupWise?

GroupWise is an integrated e-mail and calendaring solution.

How can I get a GroupWise account?

Your supervisor needs to call the Help Desk (2310-8685, Option1) to request a GroupWise account. You will need to provide your Electronic ID number in order to process the request. A request does not necessarily guarantee account creation.

My office employs several students who need access to GroupWise resources to do their job. Can a student worker have a GroupWise account?

Yes. Full-time students who are employed by departments that use the GroupWise system will be permitted to have both IMAP and GroupWise accounts. However, the use of GroupWise should be limited to calendaring and intra-departmental mailing. Mail being sent to non-GroupWise users will be "stamped" with the IMAP e-mail address (first.last@ndsu.edu) and is recommended that no business-related e-mail be sent off-campus.

Can GroupWise be used for calendar access only? My supervisor wants me to have the calendar so I will have access to his appointments. I would like to retain IMAP for my e-mail if possible.

No. If you use GroupWise for calendaring you must also use it for e-mail. It is the decision of ITS that each user shall be permitted to use only one of our two e-mail systems (GroupWise or IMAP) to prevent wasted resources and administration time.

How can I check my GroupWise mail while away from my office computer?

At home or while traveling, you can use the GroupWise WebAccess at http://groupwise.ndsu.edu.

Can I use a third-party e-mail client with GroupWise?

No. GroupWise is designed to work with the GroupWise e-mail client only.

How can I install (update) my GroupWise software to the latest version?

Note - Please close all applications before installing. Please be patient while the software is being installed. Do not cancel, re-run the installation or attempt to run GroupWise until you see the "GroupWise - Setup Complete" message - this can take up to 5 minutes.

  • Install the Windows version by clicking here and selecting Open or Run from current location.
  • You may receive a dialog box - "File Download - Security Warning"

How do I change my GroupWise password?

Your GroupWise password is synchronized with your main campus password. Changing your password through https://secure.ndus.nodak.edu/services will change your main campus password and will subsequently change your GroupWise password

Are there any quotas in GroupWise?

All NDSU faculty and staff have an e-mail storage limit of 600 MB.

Can I forward my GroupWise e-mail to another e-mail account?

Yes. However, forwarding of GroupWise mail is not supported or recommended by ITS.

How do I make GroupWise always ask for a username and password when launched (show the TCP/IP and port addresses)?

  • Right-click the GroupWise icon.
  • Choose Properties, then add " /@u-?" to the end of the target line to look like:
    • C:\Novell\GroupWise\groupwise.exe /@u-?

I am not prompted for a password when I log in to my GroupWise account.

This is usually caused by GroupWise Notify. It prompts only once for the password during initial sign-on. Then it runs in the background even after "exiting" GroupWise, and pops up a window when there are new messages.

  • To disable Notify, go to your Start menu, then to Programs and to "Startup." Right-click on "Notify" and choose Delete.

Addressing problems

Problems with addressing on the GroupWise system worsened during the upgrade to GW 6.5 in the Spring of 2004. While system changes have been made to alleviate addressing problems, careful configuration must also be made to the GroupWise clients in order to most effectively make use of these changes.

  • First, the "address search completion order" needs to be configured correctly.
  • Second, the Frequent Contacts should be synced with the GroupWise server in order to assure that the most current information is used.
    • The Frequent Contacts address list in GroupWise is NOT intended to be an address book. When addresses are accidentally mistyped, this address list will automatically populate with this erroneous address. It is ultimately advisable to clear out this list on occasion to remove any such addresses. Any addresses you need to keep/use should be stored in your Personal Address Book (typically indicated by in your GroupWise address book by your first and last name).

  • Third, be sure that the addresses you are using are the correct and most current addresses.
    • For example, if you are sending to another GroupWise user, you should use the address that is in the Novell Address book (that is, the address of the username@gwmail.nodak.edu format) or the @NDSU address (for mail purposes only; this will not work for calendaring).

My open address book shows a blank screen. File, Edit and View pull-down tabs are available but most options are grayed out. Open book is not available.

This can be a result of syncing your GroupWise on an iPAQ, or installing MS Office with MS Outlook or installing MS Outlook/Outlook Express.

  • Open the address book and select FILE>Services>Show Profiles and select "Novell Default Settings."
  • A list of services should then contain the following:
    • Novell GroupWise Address Book
    • Novell GroupWise Message Store
    • Novell LDAP Address Book
    • Novell Personal Address Book
  • If the above steps fail to correct the problem, uninstall and reinstall the client.

How do I create an "Away" or "vacation rule in my GroupWise?

This task involves many steps that must be done exactly. Please contact ITS in order to have someone walk you through this process or to set up a rule for you.

How can I set up my GroupWise client to not send my forwarded messages as attachments?

  • Click on the small arrow on the "forward" button and choose "forward" instead of "forward as attachment." This will be your default until you change it again.

I know someone is no longer in GroupWise, yet when I type in their name it populates the e-mail address. Why is this?

When someone leaves NDSU, that person's account is then disabled and should no longer be visible in the Novell GroupWise Address Book. However, if that person is in your Frequent Contacts Address Book it will continue to auto-populate when you type in the name. If this happens, follow the procedure below:

  • Open your GroupWise address book.
  • Click on the Frequent Contacts tab.
  • Look through the list for the person's name.
  • Highlight and then delete that name.

This will remove the out-of-date address from your Frequent Contacts list and you should no longer see that address appear when typing in a recipient.

How can I set GroupWise to automatically spell-check messages before sending?

  • Go to Tools menu and select Options.
  • Double-click on Environment.
  • Click on the General tab.
  • Check the "check spelling before send" box.
  • Click OK and close.

How do I automatically add a signature to every message I send?

  • Go to Tools menu and select Options.
  • Double-click on Environment.
  • Click on the Signature tab.
  • Type your signature in the box.
  • Select whether to be prompted every time or to have GroupWise automatically add this to every message.
  • Click OK and close.

How do I share a group or address book with another GroupWise user?

You can share whole address books but not individual items within them.

  • If necessary, create a new address book (via File>New Book in the address book window).
  • Copy the list you wish to share into it (click on the list then drag it into the tab of the new address book).
  • Share the address book with the people on the list.
  • Right-click on the tab of your new address book and choose "Sharing..." from the menu.
  • select "shared with" and fill in the address details of the people you want to share with.

You can only share an address book in this way with people using the GroupWise system. When people get the notification that you are offering to share your address book, they must open the message fully to make the share occur (double-click on the message in their mailbox, not just look at it in the QuickViewer). They must also exit GroupWise and re-enter to see the shared address book for the first time.

I have lost one of my address books. What can I do?

In most cases the book has only been closed. Closed books can be re-opened.

  • Click on the Address Book icon in the main mailbox toolbar.
  • Select File>Open Book (if Open Book is grayed out, all of your address books are currently open).
  • Select the book you wish to open and click OK.

All of my messages are showing in my inbox, or it looks like I am receiving carbon copies of every message I send.

This is likely caused by the display settings for your mailbox being specified to display all messages. You have the option of changing this back to default.

  • Right-click on your mailbox and choose Properties.
  • Click on the Display tab.
  • In the Setting Name drop-down window, choose <Mailbox Custom Settings> to restore the display to default.
  • Click OK to close.

When I try to add a calendar item for another GW user, I can't accept the appointment.

If you receive a calendar entry, but do not have the option to accept the appointment, it is most likely because the message was sent to your @NDSU email address instead of the @gwmail.nodak.edu address.

The message cannot be automatically converted to a calendar entry without the original sender re-sending the message.

Prevention of this problem is also up to the sender.

  • To prevent this in the future, the "Name Search Order Completion" should be modified to assure that for all GroupWise users, the GroupWise email address is the one auto-completed in email correspondence.
  • Alternatively, you may choose to modify the address entry in your Personal or Frequent Contacts to display the GroupWise address instead of the @NDSU email address.

Appointments cannot be proposed for users of the Corporate Time system from the GroupWise system.

How do I synchronize my GroupWise address book?

  • Right-click on one of your address books and select Synchronize and then Current Book .

How to set the name search order

  • Open your GroupWise address book
  • Go to File > Name Completion Search Order
  • Move the Novell Address book to the top of the list.
  • Add Personal address book and set to second item in the list.
  • Add any additional address books you have and use after the Personal Address book.
  • Make sure that Frequent Contacts is last in the list.
  • Click OK and restart GroupWise (and Notify if you use it) to apply changes.
